Introduction

This policy explains how Ubaq ("we," "our," or "us") collects, uses, and shares your information when you use our appointment booking software (the "Service"). Ubaq is operated by UBAK LLC.

By using the Service, you agree to this policy. If you don't agree, please don't use the Service.

What we collect

We collect three kinds of information:

Information you give us directly. When you sign up, we collect your name, email, and account details. When you set up your booking page, we store the business info you enter — services, prices, hours, address, contacts. When you add clients, we store their names, contact details, and any notes you save.

Information about how you use the Service. Appointments you create, settings you change, pages you visit. We use this to keep the Service running and to improve it.

Information from your device. When you use our mobile app, we may collect device identifiers, push notification tokens, and basic usage analytics. We don't request access to your photos, contacts, or location unless a feature you use requires it, and only with your permission.

How we use your information

  • To provide the Service — run your booking page, manage appointments, deliver reminders.
  • To communicate with you — respond to support, send service updates, occasionally ask for feedback.
  • To improve the Service — identify bugs, prioritize features, measure performance.
  • To comply with the law — respond to lawful requests, prevent abuse.

We don't sell your information.

Who we share it with

We share information only with:

  • Service providers who help us run Ubaq — for hosting, error tracking, and product analytics. They process data on our behalf under contract.
  • Payment processors (Apple, Google) when you subscribe via their platforms.
  • Legal authorities when required by law.

We never share your information with marketers or data brokers.

AI features

When you use our image-to-services feature, we send the images you upload to Google Gemini to extract service names and prices. Gemini processes the images only to return text and doesn't use them to train its models. Images are deleted from our storage after extraction. You can use manual entry instead at any time.

Where we store your data

Your data is stored on servers located in Germany. By using the Service, you consent to your information being transferred to and processed in Germany, regardless of where you're based.

How long we keep it

While your account is active, we keep your data. When you delete your account, we remove your business, appointment, and client records from our systems. We may keep limited backups and security logs for a short period to comply with legal obligations, resolve disputes, and enforce our agreements.

Your rights

You can:

  • See what we've stored about you
  • Correct it
  • Delete your account and your data
  • Export your data
  • Object to certain uses
  • Complain to a regulator

To exercise these rights, email team@ubaq.app. We respond within 30 days.

Account deletion

You can delete your account at any time from your account settings. Deletion is immediate: your business data, client records, and appointment history are removed from our database, and we revoke any third-party authentication tokens (such as Sign in with Apple) on your behalf. It can't be undone.

Children

Ubaq is not for anyone under 16. We don't knowingly collect data from children. If you think we have, email team@ubaq.app and we'll delete it.

Security

We use HTTPS everywhere, encrypt data at rest, and limit access to a small team. No system is perfectly secure, but we take reasonable precautions to protect your data.

Changes to this policy

We may update this policy. Material changes will be communicated by email or in-app notice. Continuing to use the Service after changes means you accept them.
